Terms Of Service

1. Agreement
These Terms Of Service govern access to and use of Audentic AI’s website, demo line and AI receptionist services. By using the website, requesting a demo or engaging our services, you agree to these terms unless a separate signed agreement applies.
2. Services
Audentic AI provides AI voice receptionist setup, call handling configuration, missed-call recovery workflows, SMS or email follow-up workflows, booking support, emergency triage logic, call transfer logic, optimisation and related automation services for dental clinics.
3. Demo Line
The demo line is provided to show example capabilities. Demo responses may not reflect your clinic’s final configuration. Demo calls may be recorded, monitored or transcribed for quality and testing. Do not submit real patient health information during a demo call unless requested and authorised.
4. Client Responsibilities
Client clinics are responsible for providing accurate clinic information, services, fees, opening hours, emergency rules, booking rules, transfer rules, staff contacts, compliance requirements and integration access. The client is responsible for reviewing and approving call scripts, workflows, patient-facing messages and operational rules before launch.
5. Healthcare And Emergency Limitations
Audentic AI is not a dental practitioner, healthcare provider or emergency service. The service does not diagnose, treat, prescribe or provide clinical advice. Emergency triage logic is designed to identify urgency and route calls according to clinic-approved rules. Clinics remain responsible for clinical decision-making, patient care and professional obligations.
6. Fees And Billing
Unless otherwise agreed in writing, pricing is as displayed or quoted. Monthly service fees are billed in advance. A one-time setup fee applies for onboarding, call-flow mapping, configuration, testing and launch support. Taxes, payment processing fees or third-party charges may apply where relevant.
7. Setup Fee
The standard setup fee is $1,000 one-time unless a different amount is quoted in writing. More complex implementations, additional locations, custom integrations or advanced workflows may require a higher setup fee agreed before work begins.
8. Cancellation
Either party may cancel ongoing monthly services by providing written notice, unless a separate fixed-term agreement applies. Setup fees are generally non-refundable once onboarding, configuration, testing or implementation work has started.
9. Refunds And Australian Consumer Law
Nothing in these terms excludes, restricts or modifies any rights that cannot be excluded under the Australian Consumer Law or other applicable laws. Where permitted by law, fees are non-refundable for work performed, active service periods, third-party costs and completed setup work.
10. Third-Party Platforms
The service may rely on third-party systems such as phone providers, AI platforms, CRM systems, calendar systems, SMS providers, email providers, payment processors, hosting providers and booking systems. We are not responsible for outages, changes, pricing, limitations or failures caused by third-party platforms outside our reasonable control.
11. Integrations And Access
You must provide accurate credentials, permissions and access needed to implement approved workflows. You are responsible for maintaining security of your accounts and ensuring staff only have access appropriate to their role.
12. Acceptable Use
You must not use the service for unlawful, misleading, abusive, fraudulent, discriminatory, spam, harassment, surveillance or privacy-invasive purposes. You must not attempt to reverse engineer, overload, interfere with or misuse the service.
13. Marketing Messages
Where workflows send SMS, email or other commercial electronic messages, the client is responsible for ensuring appropriate consent, identification, unsubscribe and record-keeping processes are in place. Audentic AI may assist with technical configuration but does not replace the client’s legal compliance obligations.
14. Privacy And Data
Use of personal information is addressed in our Privacy Policy. Client clinics remain responsible for their own patient privacy notices, consent processes, record retention, health information handling and staff access controls.
15. Intellectual Property
Audentic AI retains ownership of its website, branding, frameworks, prompts, templates, scripts, workflows, documentation, methodologies and service configuration know-how, except for client content and data supplied by the clinic. You receive a limited right to use the configured service while your account is active and paid.
16. Confidentiality
Each party must take reasonable steps to protect confidential information received from the other party and use it only for the purposes of providing or receiving the services, unless disclosure is required by law or authorised in writing.
17. Service Availability
We aim to provide a reliable service but do not guarantee uninterrupted or error-free operation. Maintenance, third-party outages, carrier issues, internet failures, AI platform limitations or configuration changes may affect availability.
18. No Guaranteed Results
We may provide examples of missed-call recovery, booking improvement or operational impact. Actual results depend on call volume, clinic offer, staff follow-up, booking availability, integrations, patient behaviour and other factors outside our control.
19. Limitation Of Liability
To the maximum extent permitted by law, Audentic AI is not liable for indirect, consequential, special or loss-of-profit damages. Where liability cannot be excluded, our liability is limited to re-supplying the services or the amount paid for the affected service period, where permitted by law.
20. Indemnity
You agree to indemnify Audentic AI against claims, losses, liabilities, costs and expenses arising from your misuse of the service, inaccurate clinic information, unauthorised workflows, breach of these terms, breach of law, or failure to meet your healthcare, privacy or communications compliance obligations.
21. Changes To Services Or Terms
We may update features, workflows, pricing, policies or these terms from time to time. Material changes will be communicated where reasonable. Continued use of the service after changes take effect means you accept the updated terms.
22. Governing Law
These terms are governed by the laws of South Australia, Australia, unless another jurisdiction is required by applicable law or a separate written agreement.
